Video Summary
The NGMA webinar, led by Executive Director Tip Tucker Kendall and speaker Kyle Ward from Instrumental, focused on managing growing complexities in grants management and offered practical strategies to regain control and streamline processes. The session began with updates on NGMA’s upcoming annual grants training and new member resources, including a revamped learning platform enabling webinar recordings with CPE credits.

Kyle highlighted the prevalent "fog" in grants management: a lack of clarity and scattered information that makes managing awards stressful and risky, especially amid constant federal funding changes and strategic shifts. Key challenges include siloed data, unclear approval pathways, and invisible deadlines, often causing reactive, last-minute efforts that increase organizational risk.

To address this, Kyle introduced the FAST framework—a rapid triage tool focusing on Files (award documentation), Accounting (financial compliance), Schedule (deadlines), and Terms (award conditions). FAST helps uncover where risk is highest, enabling teams to stabilize grants first before optimizing systems.

He emphasized creating a “single source of truth,” such as a grant command center document, linking key files and deadlines for easy access and collaboration. Kyle recommended intentional file naming, regular “three-legged stool” check-in meetings among grants, finance, and program teams, decision logs, and shared reporting calendars with internal KPIs to improve visibility and accountability.

Optimization examples included leveraging AI tools for summarizing grant documents and using calendar blocking to carve out time for grant tasks, reducing last-minute crises. The webinar underscored that strong systems enhance, not replace, professional judgment, reducing organizational fragility and fostering sustainable compliance and impact.

In closing, participants were encouraged to start small by stabilizing key processes, improving shared visibility, and gradually building resilient grant management systems that accommodate change and support organizational success.
